Ten SIS Most Important Facts for Faculty |
- You will use the SIS to:
- View a list of the classes you are teaching and to obtain class rosters
- Use the Permissions function to control enrollments in your instructor-permission classes
- Offer space to students on an ad hoc basis (this functions like an electronic course action form)
- View a list of your advisees
- View information on your advisees (e.g., contact data, Academic Requirements form, unofficial transcript, class schedule, etc.)
- Browse the Schedule of Classes using the Class Search
- Some new features:
- The old COD has been replaced by what is now called the Class Search.
- All course numbers now have 4-digits instead of 3-digits. Use the crosswalk at www.virginia.edu/registrar/search.php to find a new course number based on an old one.
- A block is now called a hold. Students can view detailed information on their holds; you can see whether or not a student has a hold and from which office the hold originates.
- The Planner is where students can list courses they wish to take in future semesters, which they can review with an advisor to plan out a course of study. (Completing the planner does not guarantee class availability.)
- To login directly to the new SIS, go to http://www.virginia.edu/sis. You also may link to the portal through the SIS website at www.sis.virginia.edu.
- You can view all classes in a department using DEPARTMENT and one other search field such as MAIN CAMPUS. To see ALL sections being offered, uncheck the box to view open classes only and click on VIEW ALL for classes.
- To control class section enrollments Faculty may select to use EITHER the wait list OR the permission list. (For more information, go to http://www.sis.virginia.edu/fcusers/demo2/demo2.htm).
The Wait List: The wait list works automatically. If space becomes available in a class and IF (1) a student has no holds and (2) adding the student to the class will not result in a time conflict or put the student over the maximum number of credits allowed by their school, the students is added to the class and notified via e-mail. Students may be on up to 17 credits worth of wait listed classes, and they can see their place on a wait list. Students are able to designate a class in which they are currently enrolled to be dropped if the wait list request is successful.
The Permission List: Permissions are controlled by instructors, who choose how to add students to their class (“instructor-permission” classes). Instructors must monitor their permission lists regularly – daily once classes begin. They can check the actual enrollment figures to determine if additional students can be offered a space. Once permission is granted, the student will be notified via e-mail and have a designated amount of time in which to add the class.
- There are links in the Student Center to view a course syllabus (once created in UVa Collabe and if it is public) as well as course evaluations. Please post your course syllabi to UVaCollab as quickly as you can.
- Available for undergraduates and some graduate programs, the new Academic Requirements form is an interactive and “searchable document.” The Academic Requirements form will “collapse” all completed school and major requirements and “expand” those that a student has not yet completed. It will also display a list of possible courses that fill a certain requirement. From there, you can navigate to a course description and then see if the class has been scheduled for the upcoming semester. Students can add classes directly from their Academic Requirements form.
- The College of Arts & Sciences maintains a separate advising system (https://www.web.virginia.edu/Advise). This site is a “communication and calendaring” tool. Here you can obtain lists of all of your undergraduate advisees and e-mail them as a group, by year, or by major. You may also set up an electronic calendar for the advising period and students can schedule their appointments online. You can also view the Student Information Form (completed by new students) and enter comments after your advising appointment.
- Most undergraduate students will have an “advisor hold” placed on their record which will be removed AFTER meeting with an advisor (some undergraduate majors and most graduate schools do not use advisor holds). Students can view their appointment time through the Student Center, and once all holds are removed can enroll in classes at their designated time.
- About two weeks prior to the start of course enrollment, students will be able to start identifying the classes they want through a process called validation. Validation allows students to check a proposed schedule for time conflicts and requisites, but does NOT enroll them or save a space in the class. Once the enrollment appointment arrives, students have to go back into the SIS to complete enrollment, at which time the system checks for available space. Validation is completely optional, but can help students plan a schedule in advance of pre-registration.
